Race Pack Collection & Mass Participant Check-In System
RaceTime’s REPC system helps organisers move large crowds faster by separating participant verification from item collection.Instead of every counter checking details manually, participants scan their QR code at a self-service tablet kiosk. A ticket is printed instantly with the participant’s details, bib number, category, size information or collection items. They then proceed to the correct collection counter, where crew can fulfil the pack quickly.
This workflow reduces bottlenecks, keeps queues moving and gives organisers live visibility of collection status.Built for high-volume eventsOur system is suitable for running events, cycling events, triathlons, mass participation events, conferences, exhibitions, roadshows and corporate activations. It can be used for race pack collection, bib collection, badge collection, goodie bag redemption, merchandise collection, gift redemption or attendee check-in.
How it works
Participants receive a QR code before the event.
At the venue, they scan the QR code at a tablet kiosk.
The system prints a collection ticket with the required information.
Participants bring the ticket to the collection counter.
Crew fulfil the pack, bib, badge or item based on the printed ticket.
Collection status is updated live for organiser tracking.
Why organisers use it
Traditional collection counters create long queues because the same crew must verify the participant, search records, confirm item details and fulfil the pack.RaceTime’s REPC system splits the process. The tablet handles verification and ticket printing, while the counter crew focus on packing and handing over items.
This means fewer checking errors, faster movement and better control during peak collection periods.
Key features
QR code scanning
Self-service tablet kiosks
Fast thermal ticket printing
Bib number and participant lookup
Category, size and item details on ticket
Live collection status tracking
Support for multiple counters and collection zones
Useful for races, conferences, exhibitions and large-scale eventsScalable setup
The system can be scaled based on expected crowd size, venue layout and collection method.
For smaller events, a few kiosks and counters may be enough. For larger events, multiple tablet kiosks can feed many collection counters, allowing the queue to move faster without needing one computer at every counter.
Better queue management
By using printed collection tickets, participants know where to go and what to collect. Crew can process each ticket quickly without slowing down the line to search for records. This makes the system especially useful for events with different categories, sizes, waves, bib ranges, merchandise options or redemption items.
Live tracking for organisers
Organisers can monitor collection progress during the event.
This helps with stock control, crowd management, missing pack checks and post-event reporting.
